It is free, it is flexible, everyone can use one, and it can be reshaped in seconds as you work out what you actually need. Reaching for one is not laziness. It is sensible. The mistake is not starting with a spreadsheet. The mistake is not noticing when it has quietly stopped serving you and started costing you.\u003C\u002Fp>\u003Ch2>Why the spreadsheet wins early\u003C\u002Fh2>\u003Cp>In the beginning, a spreadsheet beats almost any purpose-built tool, and for good reasons. You do not yet know exactly what the process is, so flexibility matters more than structure. The volume is low, so doing things by hand is fine. There is one person, or a few, so coordination is easy. Buying software at this stage would mean committing to someone else’s idea of your process before you understand your own. The spreadsheet lets you learn cheaply.\u003C\u002Fp>\u003Ch2>The signs it has turned\u003C\u002Fh2>\u003Cp>The trouble is that the spreadsheet does not announce when it has outgrown its usefulness. A spreadsheet cannot, so people work around it.\u003C\u002Fli>\u003C\u002Ful>\u003Cp>Each of these is the spreadsheet asking, politely, to be retired from a job it was never built for.\u003C\u002Fp>\u003Ch2>What you actually graduate to\u003C\u002Fh2>\u003Cp>Graduating does not mean buying the biggest platform you can find. It means having learned, through the spreadsheet, exactly what your process is — and that knowledge is the most valuable thing the spreadsheet gave you. You now know the fields, the steps, the exceptions, the things it needs to do that it could not. That is a specification, written in the most honest way possible: by living it.\u003C\u002Fp>\u003Cp>Sometimes the next step is a simple off-the-shelf tool that fits. Sometimes it is something built for you. Either way, you are choosing from a position of clarity rather than guesswork, because the spreadsheet did its real job: it taught you what you needed before you spent anything serious finding out.\u003C\u002Fp>\u003Ch2>The honest version of “later”\u003C\u002Fh2>\u003Cp>The risk is the same as it is with most operational debt: the spreadsheet works just well enough that replacing it never reaches the top of the list, while the weekly cost of living with it compounds quietly in the background. The hour of manual reconciliation, the near-misses, the bottleneck of the one person who understands it.
